The Social Administration is responsible for providing support, care, and assistance to people at various stages of life. We work based on individual needs and offer services based on several laws, including the Social Services Act (SoL), the Act on Support and Service for Certain Disabled Persons (LSS), and the Health and Medical Care Act.

This can involve providing the elderly with a safe and meaningful everyday life, supporting people with disabilities, or being there for children, youth, and adults in vulnerable life situations.

JOB DESCRIPTION

Do you want a qualified assignment where your knowledge, accuracy, and sense of structure are crucial for ensuring that cases and documents are handled legally? We are now looking for a registrar for the Social Administration's office, a central function in an operation with significant responsibility and a clear societal mission.

As a registrar, you are responsible for ensuring that the Social Administration's case and document management functions in a legally secure, efficient, and uniform manner. You work with the entire information chain from registration and logging to archiving, disposal, and release of public documents.

In your daily work, you log incoming and outgoing documents in the administration's case management system, manage functional mailboxes and mail, and ensure that cases are correctly classified, structured, and supplemented with the right metadata. You also handle requests for the release of public documents and conduct confidentiality assessments in consultation with a manager or lawyer.

An important part of the assignment is to coordinate, update, and apply the Social Administration's document and information management plans.

You also participate in archival work, such as organizing, cataloging, disposal, and deliveries to the municipal archive and e-archive. The role also includes contributing to the development of routines, working methods, and system support within case and document management, as well as training and introducing managers and employees to applicable working methods.

The work is carried out in close collaboration with other functions in both the administration and the rest of the municipality, such as committee secretaries, managers, caseworkers, development leaders, lawyers, and the central archive.

QUALIFICATIONS

We are looking for someone with a university degree, for example in archival and information science, law, political science/social science, or with a focus on registration/archives, or alternatively vocational education that the employer finds equivalent. You have documented experience working as a registrar and/or archivist in public operations, where you have independently been responsible for logging and handling public documents and have worked in digital case and document management systems.

You have good knowledge of the regulations governing the area, including the principle of public access and what constitutes a public document, public and confidentiality legislation, archival legislation, and municipal archival organization, basic administrative legal principles, as well as the General Data Protection Regulation (GDPR) at a level that allows you to apply it in your daily work. You also have a very good ability to express yourself in Swedish, both orally and in writing.

It is advantageous if you:

  • have experience from municipal social administration/social services
  • have worked in, for example, Public 360 or similar case management systems
  • have experience in disposal, e-archives, and deliveries to municipal archives
  • have experience in developing or working according to document management plans.
